Send email from the app
Applies to Workletto 1.x.
Workletto sends no email until an admin turns it on. When it’s on, every email comes from your own address, through an SMTP server you choose. The makers of Workletto don’t see your email, and the app sends nothing to them.
Everything works without email: invite links and password reset links are shown on screen for you to copy and send yourself.
What the app emails
Section titled “What the app emails”Once email is on:
- Invite links. When an admin makes an invite link with Email the link ticked (it is, by default), the person gets it by email. The link is still shown on screen. See Invite your team.
- Password reset links. The sign-in page gets a “Forgot your password?” button; the link arrives by email and works for 1 hour. See Reset a password.
- Invoices and reminders, to your clients, from the invoice page. See Email an invoice.
- Test emails, to your own address, from the Email settings page.
Turn on email with an SMTP server
Section titled “Turn on email with an SMTP server”Use the outgoing mail server of your email provider, or of a service made for sending email: Resend, Postmark, Amazon SES, Gmail and Microsoft 365 all offer SMTP. Their help pages list the host name and port; many also want an “app password” or an API key used as the password.
- Open Manage, then Email. Only admins see it.
- Under Send email with, choose SMTP server.
- Fill in the Sender: a Sender name (optional, shown to the people who get the email) and the Sender address the emails come from.
- Fill in the SMTP server: Host (such as
smtp.example.com), Port (usually 587; 465 for a connection that is secure from the start), Secure connection from the start (TLS) (on for port 465; otherwise the connection is upgraded to TLS when the server offers it), and the Username and Password the server wants. Leave the username empty if the server needs no login. - Click Save email settings.
- Click Send a test email. It goes to your own address. “Sent. Check your inbox.” means the server accepted it; if it doesn’t arrive, look in your spam folder.
The page shows the time and result of the last test under the button.
Your password
Section titled “Your password”The password is encrypted before it’s stored, with a key made from the app’s own secret setting (BETTER_AUTH_SECRET), and it’s never shown again: after saving, the field says “Saved. Enter a new one to replace it.” Leaving the field empty when you save again keeps the saved one.
If BETTER_AUTH_SECRET is ever changed in your hosting settings, the saved password can’t be read any more. The app then says “Enter the password again”, and sends no email until you do.
Turn email off
Section titled “Turn email off”Choose Off and click Save email settings. Invites and reset links go back to being shown on screen.
If a test email fails
Section titled “If a test email fails”The message under the button says what went wrong, in the words of your mail server where it gave any:
- “The email server refused the username or password.” Check both. Some providers need an app password rather than your normal one.
- “Couldn’t connect to the email server at host:port.” Check the host, the port and the secure-connection setting. Some hosts block outgoing mail on port 25; use 587 or 465.
- “The email server didn’t accept the secure connection.” Try the TLS checkbox the other way round, or the other port.
The last error also appears on the Email page the next time you open it, and on the Security & data page under connections to other services.
Privacy
Section titled “Privacy”With email off and no Stripe account connected, the app connects to nothing but its own database. With email on, it also connects to the mail server you entered, and only while sending. Nothing else changes.
