Export to QuickBooks or Xero

Applies to Workletto 1.x.

Admins and managers can download invoices as a file that QuickBooks Online or Xero imports. Workletto doesn’t connect to either one directly: you download the file here and import it there.

  1. Open Invoices. Export for accounting appears once you have sent an invoice.
  2. Choose the period under Issued from and To. It starts as last month.
  3. Click Download for QuickBooks or Download for Xero.

The file holds every sent or paid invoice issued in the period, with one row for each invoice line. Drafts stay out. Each invoice keeps its own number, dates, client and currency, and nothing is converted.

So that each invoice adds up to exactly what you billed:

  • A discount is a row of its own, such as “Discount (10%)”, with a minus amount.
  • Tax is shared out over the rows, to the cent, in the tax amount column. The prices are without tax.

In Xero, open Sales, Invoices, and click Import, then choose the file. Xero says the import works like this, as of October 2026:

  • When it asks, say the amounts exclude tax.
  • Account code and tax rate must match the ones in your Xero organisation exactly, so the file leaves them empty. Fill them in before you import, or set them on the invoices in Xero afterwards.
  • A client’s name must match its contact in Xero exactly, or Xero creates a new contact.
  • An invoice number that’s already in Xero isn’t imported again, so importing the same period twice doesn’t double it.
  • Invoices arrive in Xero as drafts, for you to approve.
  • Xero recommends no more than 500 rows in one file. If you have more, export shorter periods.

In QuickBooks Online, open Settings, Import data, and choose Invoices, then upload the file. QuickBooks says, as of October 2026:

  • To keep Workletto’s invoice numbers, turn on Custom transaction numbers in your sales settings first. Otherwise QuickBooks gives the invoices its own numbers.
  • QuickBooks asks which column is which; the columns are named the way it expects. Choose the date format MM/dd/yyyy.
  • Client names must match your QuickBooks customers, or tick the option to add new customers.
  • The tax code column is left empty, because tax codes are your own; choose them while mapping or on the invoices afterwards.
  • A file can have up to 1,000 rows.

QuickBooks and Xero change their import screens from time to time. If a screen differs, follow their own help. Check the first few imported invoices against Workletto before you import a long period.

The file has invoices only, not payments. Record payments in your accounting software, or let its bank feed match them. The invoice’s status in Workletto says whether it’s paid.
