Applies to Workletto 1.x.

Manage, Import & export: the export choices

Admins and managers have Import & export under Manage. Its Export section has five buttons:

  • Clients, Projects and Tasks download everything of that kind at once, archived ones included.
  • Time entries and Expenses download a period. Choose From and To first; they start on 1 January and 31 December of the current year. Both days are included. If the first date is after the last, Workletto says “The start date is after the end date.” and nothing is downloaded; with a date missing it says “Choose a start and an end date.” Any error from the app is shown under the buttons in the same way, and no file is saved.

The files are named clients.csv, projects.csv, tasks.csv, time- and the two dates followed by .csv, and expenses- and the two dates followed by .csv. Each file has a header row. These are the columns:

File Columns
Clients Name, Email, Address, Currency, Archived
Projects Project, Client, Currency, Billable, Bill by, Hourly rate, Fixed fee, Budget type, Budget hours, Budget amount, Archived
Tasks Project, Client, Task, Status, Assigned to, Due date, Notes
Time entries Date, Person, Person email, Client, Project, Task, Notes, Hours, Billable, Billable rate, Billable amount, Currency, Invoiced
Expenses Date, Person, Person email, Client, Project, Category, Amount, Currency, Notes, Billable, Reimbursable

What the cells hold:

  • Yes or No for Archived, Billable, Reimbursable and Invoiced. Invoiced says whether a time entry is on an invoice.
  • Currency: the three-letter code the amounts on that row are in, such as USD or EUR. It’s the client’s currency, or your own for a project without a client. See Bill clients in other currencies.
  • Bill by is Project or Person. Budget type is None, Hours or Fees. A task’s Status is To do, In progress or Done.
  • Hours are decimal hours with up to four decimals: 1.5 is 1:30, and 20 minutes is 0.3333. Budget hours are decimal hours too.
  • Amounts and rates are plain numbers with two decimals, with no currency symbol, in the currency the row’s Currency column names.
  • Dates are written year first, like 2026-10-15.
  • Person email is empty for a person who has no login yet. In the time export, the Billable rate column is always empty.
  • Text that starts with =, +, - or @ gets an apostrophe in front, so a spreadsheet doesn’t run it as a formula. You may see the apostrophe in your spreadsheet program.

Reports has an Export CSV button. It downloads the entries in the report you are looking at, with the period and filters you chose, as time- and the two dates followed by .csv. The columns are Date, Person, Client, Project, Task, Notes, Hours, Billable and, for admins and managers, Rate, Amount and Currency: each entry’s amounts are in its project’s currency, as they’d be invoiced. A member can export too, but only their own time, without money.

  • History. Admins can download the change history as a CSV file. See See who changed what.
  • Backup. Admins can download one file with everything the app holds, to keep or to restore into a new install. It is not a spreadsheet. See Back up and restore.
  • Invoices. On an invoice, click Print / Save as PDF. See Create an invoice.
